Birthday wishes from a beauty pro to a client should be short, personal and free of advertising: two or three sentences, one wish and a signature. The best time to send them is the morning of the birthday, in the messenger where you usually talk, and a birthday discount, if you give one, goes in a single line at the end with an expiry date. Below are twenty ready-made messages for women and men, with a discount and belated, which you can copy and adjust.

Why a pro should wish clients a happy birthday

A client you congratulated won’t come back tomorrow because of that message alone. Birthday wishes work differently: they remind the client that you remember them not as “the 2 pm booking” but as a person. That feeling is most often what keeps a client with one pro when ten new studios open nearby.

There is another reason: rhythm. A client who has dropped out of her usual visit schedule rarely writes first — it feels awkward. Birthday wishes with a small gift give her a simple reason to book without explanations. For more on why clients disappear and how to notice it in time, see Why clients don’t come back to a beauty pro.

The key is not to overdo it. Birthday wishes once a year are care. Birthday wishes plus three promotional mailings a month are spam, and the warmth is gone.

How to write birthday wishes people actually read

A few rules that make almost any template sound human:

  • Short. Two or three sentences get read in full even in a lock-screen notification. Half a screen of text gets skipped.
  • From you. Sign the way the client knows you: “Your pro Anna”, not “Elegia Beauty Studio”.
  • One detail. If you remember she was going on holiday or had just moved, mention it. That’s what “in your own words” means.
  • No corporate speak. “We wish you success in your professional endeavours” is a card from a bank. “May this year be an easy one” is from a person.
  • The gift goes last. Wishes first, then one line with the discount and when it expires.
  • Address them the way they call themselves. Don’t use the name from your notes like “Tanya (haircut, Lenin St.)”. When in doubt, skip the name.

Birthday wishes for a female client: 8 messages

  1. Happy birthday! May this year be easy, with more reasons to smile than tasks in your calendar. Your pro Anna.
  2. Happy birthday! Thank you for trusting me with your look. I wish you a reflection that makes you happy every day — and I’ll help with that.
  3. Happy birthday! May everything you’ve planned fall into place, and may rest come more often than seems possible.
  4. Happy birthday! Wishing you warmth, inspiration and easy-going people around you. I’m glad to have you as a client.
  5. Happy birthday! May today bring lots of attention, flowers and time just for yourself.
  6. Happy birthday! May your year be as bright as your last manicure — and just as long-lasting.
  7. Happy birthday! I remember you were planning a trip to the sea — may it happen this year. Have a lovely celebration!
  8. Happy birthday! May everything that seems hard right now turn out to be within reach. Thank you for being with me all this time.

Messages 6 and 7 are examples of “one detail”: swap the manicure for your own service and the sea for whatever your client told you about.

Birthday wishes for a male client: 6 messages

Men are often better suited by a shorter, calmer tone, without “beauty” and “inspiration”.

  1. Happy birthday! Good health, good news and time for the things you really enjoy. Your pro Dima.
  2. Happy birthday! May the year be a lucky one — at work and beyond.
  3. Happy birthday! Wishing you strength, calm and reasons to be proud. Thanks for coming to me.
  4. Happy birthday! May everything you plan work out on the first try.
  5. Happy birthday! Have a great celebration and a great year ahead.
  6. Happy birthday! Have a great day — and if you want a sharp haircut for the party, you know where to find me.

Birthday wishes with a discount as a gift: 4 messages

A birthday discount works when it has a clear deadline and there is only one. “10% off until November 10” is a reason to book. “A discount on everything, forever” is a markdown people forget about. We covered how to word personal offers for different clients in How to offer a client a personal discount.

  1. Happy birthday! Wishing you a warm year and more time for yourself. My gift to you is 10% off your next visit, valid until November 10.
  2. Happy birthday! I’d like to treat you: until the end of the month you get 15% off any service. Hope to see you soon.
  3. Happy birthday! May the celebration be just the way you dreamed. And a small gift to go with it: 500 ₽ off a booking in the next ten days.
  4. Happy birthday! My gift to you is 10% off any treatment until November 15. You can book here: [your booking link].

A booking link at the end removes an extra step: the client doesn’t have to ask “when are you free?” — they pick a time themselves.

If you’re late: 2 messages

Missing a birthday is not a disaster. Wishing someone a happy birthday within a week afterwards is perfectly normal; just don’t pretend nothing happened.

  1. Belated happy birthday! I’m a little late, but I wish you all the best: may this year be kind and calm.
  2. Belated happy birthday! I hope the celebration went well. So the gift isn’t late too, your 10% discount is valid for another ten days.

Later than a week, it’s better not to write at all: “belated wishes from a month ago” reads like a late mass mailing, not attention.

When and where to send

Time. The morning of the birthday, between nine and eleven. In the afternoon your message gets lost among wishes from family and friends; in the evening it feels like a formality. Don’t write at night, even if you can’t sleep.

Channel. The one where you usually talk to the client: Telegram, WhatsApp or SMS. Email works worse — it gets opened later and less often. Cards and pictures “from the internet” aren’t needed: a short text from the pro is valued more than someone else’s animation.

Where to get the dates. Ask at the first visit or when booking, without pressure: “If you like, I’ll note your birthday so I can congratulate you and send a gift.” Most people agree. Write it straight into the client’s card, not on a sticky note — otherwise in six months you won’t find it.

Who to congratulate. Everyone who has been to you at least once and let you note the date. A client who came once two years ago can still get a birthday discount — for them it’s exactly the reason to return.

How to do it without calendars and phone reminders

The main difficulty isn’t the text but remembering in time. With twenty clients, memory is enough. With two hundred, birthdays start slipping through.

Talenza, our online booking service for solo pros, has a “Birthdays” section in “Clients” for this:

  • The date of birth is stored in the client’s card. You add it when editing the contact, and it shows in the card header.
  • A list by month. Each client sits on their next birthday; today’s birthday clients you haven’t congratulated yet are flagged with a badge on the row in “Clients”.
  • A ready-made birthday message. You adjust it for the client and send it via Telegram, WhatsApp, SMS, email, or copy it. You can congratulate a client from a week before to a week after their birthday.
  • A gift discount in one tap. The personal discount form is already filled in: 10%, 10 days, single-use — you can change the values. The discount is applied automatically when the client books through your link.
  • A “Congratulated” mark. You see who you’ve already congratulated; by the next birthday the mark clears itself.

What Talenza doesn’t do: it doesn’t congratulate clients automatically and doesn’t send a birthday reminder. You send the message yourself — that’s what keeps it a greeting from the pro rather than a mailing. For more on who the service suits, see the beauty pros section (in Russian).

FAQ

How do I wish a client a happy birthday without it sounding like an ad? Keep it short and personal: two or three sentences, one warm wish and your signature. If there is a discount, mention it in a single line at the end, without exclamation marks or words like “promo”. Send it in the messenger where you usually talk to the client.

When is the best time to send birthday wishes? In the morning of the birthday itself, between nine and eleven, before the client is flooded with messages. If you missed it, wishing them within a week afterwards is still fine: just say “belated happy birthday”.

Should I give a birthday discount? Not necessarily: a warm message works without a gift. If you do give one, set a clear deadline, say ten days, and make it single-use. Then it becomes a reason to book rather than a permanent price cut.

How do I write birthday wishes in my own words? Recall one detail that belongs to this particular person: something they told you during a visit, a trip they were planning, something they love. One such line turns a template into a personal message.

Summary

Birthday wishes to a client are the cheapest way to remind them of yourself that doesn’t annoy. Two or three sentences, one personal detail, a gift with a deadline — and a message on the morning of the day. The hard part isn’t writing but not forgetting: so put the dates into client cards right away, not “some day”.
